This Privacy Policy is about how Proactima AS collect, use and store personal data about our clients. This is done in accordance with the General Data Protection Regulation (GDPR), applicable in Norway and the EU, and is the responsibility of Proactima’s General Manager. The main person responsible for processing personnel data is the general manager.

Personal data is any information about an identified or identifiable person. An identifiable person is someone who can be identified directly or indirectly from a reference to a name, address, telephone number, email or other identifiers. For an overview of personal data processed by Proactima and how we process and store personal data, please read the information below.

We will never disclose any information about you to other parties. Access to personal data is limited to Proactima employees who need access to perform their job. Through our data processing agreements, the same security and confidentiality requirements apply to our suppliers as to ourselves.

The legal basis for Proactima’s processing of personal data is consent or an agreement. Consent is given when registering for consulting, courses, training, seminars or as a recipient of the newsletter.

Proactima collects and uses personal data only to provide you with the services you have requested, manage your contact information, identify you and communicate with you. The data will be used during assignments and afterwards for evaluation. Personal data may also be used to inform you of new services provided by Proactima. The data will be stored as long as it is appropriate for the purpose.

You may refuse the use of your personal data for direct marketing at any time. We will then refrain from any processing to the extent that it is related to this purpose. You can inform us of your objections by sending an email to: post@proactima.com

Recipients of personal data:
Your personal data will only be accessible to Proactima’s internal employees; the information will not be shared with third-party recipients.

Website statistics:
When you visit our website as an unregistered visitor, we collect and store certain types of information (such as device, browser, date and time of visit, and visited pages).

We use this data only to help us provide you with an optimally efficient and relevant service, for instance by adapting our website to the needs of our clients. It is necessary for us to collect this data in order to provide you with the website we have. It is not possible to trace the information we collect back to the individual user.

Client information:
To communicate with our clients, we are required to collect information such as name, email and job title. We use this information to keep in touch with our clients, for instance to respond to requests, send quotes, complete orders and evaluate completed work. This data can also be used to inform clients of other services we believe to be beneficial for the client, for instance in the form of a newsletter. Customer data is recorded in our database.

We store this data in our database for as long as the client relations continue to exist. You have the right to access, rectify and request information to be deleted. After the client relationship ends, we will continue to store the information for as long as we consider it appropriate based on our legitimate interest in our work history. This is also to help our clients with any assignment history with which they may need our assistance.

Courses and training:
Proactima uses Mintra Trainingportal as a third-party provider for its courses. The same data privacy requirements apply to Mintra Trainingportal, as specified in a data processing agreement between Proactima and Mintra Trainingportal. When you sign up for a course organized by Proactima, you agree that your details will be recorded in Mintra Trainingportal. These are personal details such as name, email address, telephone number and date of birth. Your user account will not be deleted as long as Proactima see it appropriate to keep it. This is to allow Proactima to provide you with your course history details and to allow you to print out a course certificate.
You may request to have your user account deleted, or delete it yourself.

Newsletter:
Proactima regularly sends out a newsletter. When you sign up for our newsletter we ask for your name and email address. Your email address will be used to send you our newsletter. In each newsletter you receive, you are given the option to unsubscribe. If you unsubscribe to our newsletter, your details will be deactivated, and you will no longer receive the newsletter.

Vacancies:
Proactima uses LinkedIn to advertise vacancies and register applications. When you apply for a vacant position, you register your personal data in LinkedIn’s database and accept their privacy policy. This is information Proactima cannot delete, but you can always ask to be deleted from the database by contacting LinkedIn directly. Social media:
Proactima uses Facebook, LinkedIn, Youtube and other social media outlets to provide information about our activities If you follow us on any of these pages, the relevant platform will be responsible for processing your personal data.

Privacy policy review:
Proactima may change or update its privacy policy at any time without notice. Changes will be effective when published on the company website. It is your responsibility to monitor these updates. Our privacy policy was last updated 16 January 2019.
